Writing a Recommendation Report

Steps in the Assignment:
·Complete the “Worksheet for a Recommendation Report” on page 392 of your textbook. This is a prewriting activity to help you generate ideas for your report.
·Write your report and give it to someone to read. Let them use the “Worksheet for Evaluating Your Report” on page 393 as a guide for feedback.
·Talk to your reader about the questions on the worksheet. If you have trouble responding to the questions, this is a signal to rethink and revise.
·Using feedback from the “Worksheet for Evaluating Your Report,” revise your recommendation report.
“Assume you are working for a local firm and have been asked to evaluate two kinds, brands, or models of equipment. Select a limited topic (for instance, two specific models of 10-inch table saws, the Black and Decker model 123 and the Craftsman model ABC), and evaluate the alternatives in detail. Write a report recommending one of the alternatives be purchased to solve a problem. Be sure to explain the problem. Both alternatives should be workable; your report must recommend the one that will work better.
“Gather data about the alternatives just as you would when working in industry – from sales literature, dealers, your own experience, and the experience of others who have worked with the equipment. Select a maximum of four criteria to judge the alternatives and use a minimum of one visual aid in the report. Aim your report at someone not familiar with the equipment” (Riordan and Pauley 417).
Consider the Audience:
Your textbook advises you to consider the needs of your audience and notes that “in general, many different people with varying degrees of knowledge (a multiple audience) read these reports” (389). Readers will be most concerned about the parts that affect them (i.e., the maintenance people will be concerned with installation and reliability, the users with ease of operation, the managers with efficiency and cost effectiveness, etc.).
Choose Your Topic:
Here are some suggested topics. If you do not want to use one of these, you may choose one that is similar:
·Satellite dish receiver systems
·Hunting rifles of different brands or calibers
·Sewing machines for the home
·Home computer systems
·Home security systems
Create Visual Aids for Your Recommendation Report:
You must include visual aids with your written instructions. Both Microsoft Word and WordPerfect allow you to draw figures, create tables, and inset images into word processing documents. Use your word processing program or other means to create appropriate visual aids for your recommendation report.
Format the Report:
For this assignment, use the format for a formal administrative report as described and illustrated in Chapter 14 of your textbook.
A rubric is provided at the end of this section to show the grading breakdown of the required criteria for this assignment. Your work will be graded using the following criteria:
Does the introduction contain the elements listed below that are appropriate for the topic of the recommendation report?
-Statement of purpose
-Explanation of method of investigation
-Statement of scope
-Explanation of the problem
-Does the conclusion summarize the most significant information about each criterion covered in the report?
-Does the recommendation resolve the problem that occasioned the report?
-Is the discussion section organized by criteria, from most to least important?
-Does each criterion have an introduction, a body discussing each alternative, and a conclusion?
-Is the report free of grammar, spelling, and punctuation errors?
When the file containing your work is returned, open it and read the comments carefully so you will understand how to improve your performance on the next assignment.
