Effective communication in the workplace is an important part of any organization, regardless of the number of employees; any business can fail in communication aspect with the employees if there is no effective and efficient way of communication process implemented by the management. Poor communication among the employees mostly causes several issues like misunderstandings, lack of information, employees’ poor performance, disappointments both in management and the workforce, that lead to turnover of the staff more frequently. All these are stem from failure in communication between the management and the employees. Correspondingly, in order to achieve a well crafted and coordinated process of communication at work, the initiative must always begin with the management. Since it is a long-time process, the managers should plan for the day-to-day communication process, until everybody will get used to it, and start to create a system of effective communication in the organization.
In this regard, there are some important tips in order to achieve this objective. First, the entire organization should practice openness. This is a very effective way to facilitate open channels of communication through team sharing; increase the collaboration among departments, as well as it stimulates active engagement of the people to every company’s activity, event or issue. In addition to that, calling for an open-ended discussions with the employees on various topics, will allow one another to express their opinions, grievances and issues that more likely affect the employees’ performance and most likely affect to the relationships of the employees with one another, so as with their relationship with their superiors. Secondly, people in the workplace must communicate their expectations with one another. By doing a clear and appropriate amount of tasks will be both designated and done properly by two parties without any misunderstandings. In the same manner, developing a proper framework-plan with detailed activities, timeframes, responsibilities and expectations are all a big help in building confidence, trust with the employees that greatly leads to the achievement of company’s excellent performance and productivity among its people. Thirdly, the communication must be proactive, meaning; the managers should always find ways to reach out to their employees, by mingling with them in and out of the company, listening to their suggestions and grievances, and to help them to resolve certain issues by doing appropriate actions. This kind of management application not only improves the communication process, but also it improves the morale of the employees, so as it builds and maintains an open and solid relationship between the management and the entire workforce. Fourth, the positive communication emphasizes a good and reward achievements of the employees by giving them regular feed backs on their performance and by conducting team meetings and team buildings. The last one is the skills of the people in the organization to observe and listen to one another. This is in particular with the managers, they must have the heart to observe and listen to every employee. A good listening skill is essential for the managers in order to understand fully the situation of their employees, as well as to become fully aware of what their subordinates are going through in the workplace.
Furthermore, another ways to improve workplace communication are through the help of advanced technology at work such as email, social media, phones, SMS, Intranets, IM, and HRIS, meetings with PowerPoint presentations, and distributing newsletters and memorandums in the entire organization. They play a crucial role in maintaining a successful communication process as well as achieving positive relationships in the workplace. Additionally, the quality of the interpersonal relationships of the management with the employees can be enhanced better by setting good examples to them. By treating the workforce with dignity and respect is one of the most effective ways to demonstrate them the powerful way of communication process. In the contrary, there are some people who are a bit difficult to handle at work, and they can be the worst nightmares for anyone. These kinds of employees always exist in every organization, it just a matter of how high is the self-esteem, self-confidence and professional courage of the person in dealing with such people; at the same time, dealing in a more diplomatic way can set the difficult employee at ease.
On the other hand, there are times that managers must hold a difficult conversation with a particular employee/s. This process needs a direct and honest approach in order to direct and settle the difficult conversation or problem right away with the employee/s. The person/s concerned should get the point that the problem arose from the feedbacks of the clients, co-employees, and supervisors of not meeting the standard expectations of delivery of certain product or service at some point. The superior should always emphasize that this is merely professional matters, and it does nothing to do with any personal issues of the employees with other employees and with the managers or supervisors. Hence, a particular problem must be directed and resolved in order to improve the quality of his work that is very important for the 100 percent satisfaction of the clients on the company’s products and services.
